Zotero with Word can keep your citations and bibliography consistent, but it cannot verify a source's existence or the strength of your argument for you. Save and check publication details in the library first, insert citations through the plugin, then refresh the document after corrections. This guide follows a practical thesis workflow from the first record to the final copy, so you do not have to repair the same author's name in a dozen places.
Establish the required style and working environment
Collect your Polish university's guidance and examples accepted by your supervisor. A compliant bibliography may require a particular style variant, not any format that looks similar. Record the bibliography language and whether references use author-date, numbers or notes. Do not mix systems without a reason. Software applies the chosen style; it does not determine which one your programme requires.
This guide concerns Zotero's desktop application and its integration with desktop Word. Check the current Zotero system requirements before installing; do not assume browser-based Word or every mobile app offers the same integration. Labels vary by language and version, so the English function names from the official documentation are included. Your ribbon need not look identical for the functions to perform the same task.
Organise the library around your thesis tasks
Create a thesis collection with a small structure you will actually use, such as theory, methods and studies for comparison. The collections and tags documentation explains that one item can belong to several collections without duplicating it. Do not import an article again simply because it fits two chapters. Use a few meaningful status tags, such as “to read” and “metadata checked”, instead of accumulating dozens of inconsistent labels.
Add a publication, then check its metadata
The Zotero Connector saves an item from a browser page. Prefer the publisher's article page or a library record to an unexplained file. You can also add an item using an identifier such as a DOI. See the official item-adding instructions. Successful import does not establish that every field is complete or that an attachment matches the edition you intend to cite.
Compare the item type, authors, title and year with the publication itself. For an article, check the journal, volume, issue and pages or article number; for a chapter, also check the book and editors. Verify the DOI and edition where applicable. Do not repair fields by guessing. If the publisher page and PDF disagree, investigate whether they describe an accepted manuscript, published version or correction, and record why you chose a particular version.
Original example: checking a single record
Suppose a saved document is a journal article, but its item type is “Web Page” and its title begins with the website name. Open the document and source page, identify the actual publication type, then correct the relevant fields. Do not place the website name in the author field merely because no author was recognised automatically. This fictional practice scenario illustrates a checking process, not a real faulty record or a bibliographic reference to copy.
Keep notes that distinguish quotations from your own ideas
Zotero supports notes attached to a particular item; see the notes documentation. In your reading record, separate a verbatim quotation, a paraphrase and your own comment. Keep the page or another appropriate locator with a quotation. Note which argument the source supports and what it does not establish. Weeks later, this makes it easier to avoid mistaking copied wording for your own prose.
A reference manager does not synthesise the studies you read. Several dozen records do not reveal where authors agree or how methodological differences affect their findings. The literature review guide covers that next task. If sources are missing, return to finding literature rather than filling the library with records you have neither read nor verified.
Check duplicates before building more citations
Importing from several places may create multiple records for one publication. Zotero provides a potential duplicates view and merging, described in the duplicate detection instructions. Compare records before merging: two book editions, or an article and its correction, are not necessarily the same item. Choose verified metadata rather than hastily deleting records already cited in the document.
Connect Word and Zotero using a small test document
Open Zotero and a new Word document. Check for the Zotero tab, then try one sentence with a citation and a bibliography. Test the tool on your computer rather than experimenting on your only thesis copy. If the tab is missing, follow the official plugin troubleshooting guide, which includes reinstalling the add-in through Zotero settings. Consult university IT support for a managed computer.
Do not confuse the Zotero integration with Word's built-in source manager. Microsoft describes its own tools in its citations and bibliography instructions. That is a separate mechanism from the Zotero tab. Use your chosen workflow consistently. Two independently generated lists may look correct without becoming one shared, automatically managed source collection.
Cite the right item and the right passage
Place the cursor where the reference belongs. Use Add/Edit Citation in the Zotero tab, select the checked item and confirm. For a specific passage, add the page or another appropriate locator in the citation options. The cited page is not the article's entire page range in the library. These functions are explained in the Word plugin usage instructions.
Check the full title and year before confirming, especially when an author has several similar publications. The shorthand you used in notes may not identify the correct record. Also check whether the sentence is actually supported by that source: a beautifully formatted reference to an irrelevant study remains a substantive error. A paraphrase must preserve meaning, while a direct quotation also requires exact wording and appropriate marking.
Let the bibliography follow actual citations
Insert the document bibliography with Add/Edit Bibliography. A dragged list of records is a different output. Zotero describes several options in its bibliography documentation. A quick list may be useful in an email to your supervisor; in the thesis, choose deliberately whether the list should remain linked to citations. Check the resulting list after adding or removing a reference.
Correct the source of an error, not every occurrence
If an incorrect author name or year appears repeatedly, correct the library record and use Refresh in Word. If only one quotation's page is wrong, edit that citation rather than the publication record. Do not unlink fields merely to add a comma. Refreshing may overwrite manual bibliography edits, so first decide whether the problem belongs to metadata, one citation or the style rule.
Original exercise: check how a correction travels
In a separate practice document, insert two citations of the same checked source and a bibliography. Inspect its library fields and each citation's locator. If you discover a real metadata error, correct it at source, refresh and inspect all three locations. If the record is correct, do not introduce a fake error into your working library; simply trace the connection. This is a suggested exercise, not a test Student Support has run on your computer.
Changing the style does not repair missing metadata
Choose the document style in Document Preferences. See the citation styles documentation for available formats and additional variants. Compare an article, a book and a chapter with your university's examples. If an expected element is missing, check the item type, field and selected variant before blaming the software. A style cannot reconstruct an editor's name that was never recorded.
A footnote is also part of Word's document layout. Its position and formatting are distinct from bibliographic punctuation. Microsoft explains footnote handling in its documentation. If your university requires notes, check both the citation style and document formatting rather than typing sequential numbers yourself. For examples of this distinction, see the guide to footnotes and Oxford referencing.
If updating fails, narrow down the problem
Save a document copy, then test the same command in a new blank file. Failure everywhere points towards an integration problem; failure in only one document needs a different investigation. Follow the document troubleshooting instructions and record the error, operating system and program versions. Do not upload your whole thesis to an arbitrary forum, especially if it contains participant data or unpublished material.
Make diagnostic changes individually on a copy. Record which step changes the behaviour rather than simultaneously removing add-ins, moving the library and rewriting references. When working with an editor, agree in advance how live fields and file versions will be preserved. A comment about a missing source can remain an issue to resolve; it need not become a seemingly complete citation to an unverified publication.
Keep the working version and check the final file
Unlink Citations is not an ordinary “finish” button: it removes further automatic field updates in that copy. If plain text is genuinely required, preserve a separate version with active citations before working on a final copy. After PDF export, inspect citations, bibliography and page breaks. Correct appearance in the editor does not replace checking the actual file you will submit.
Protect the Zotero library separately from the Word document. The data directory documentation explains storage and backups. Before major reorganisation, establish what your backup contains and where attachments are stored. Do not casually move the active database between cloud folders. Treat synchronisation and backup as separate arrangements whose behaviour you need to understand and check.
Frequently asked questions
Do you correct the bibliography in APA, Harvard, or Chicago style?
Yes. I can correct the bibliography and footnotes according to the required citation style. This most often concerns styles such as APA, Harvard, Chicago, Vancouver, MLA, ISO 690 and footnotes.
If the university or supervisor requires a specific way of recording sources, you can send the guidelines, and the bibliography and footnotes will be standardised according to these rules.
Can the citation style be changed throughout the thesis?
Yes. This change covers both the bibliography and in-text citations or footnotes. I first check whether the bibliographic details are available and which version of the style is required, so the whole document remains consistent.
Do you check whether the sources in the bibliography exist?
Within the agreed scope, I check whether bibliographic entries can be identified and flag entries that raise doubts. Not finding a publication in a search does not prove that it does not exist. Checking a quotation or whether a reference accurately represents a publication requires access to the source.
Is a link to the publication enough? What about an incomplete source description?
A link alone is usually not enough. You need a bibliographic description that matches the type of publication and the required style, including the author, title, and relevant book or journal details.
I check whether the source can be clearly identified and supplement verifiable data. If information cannot be established, I flag it as missing for clarification. I do not add unverified authors, dates, or page numbers.
Why does Zotero produce an incorrect reference with the chosen style?
Check the item type and publication metadata, then the correct style variant. The software formats recorded information; it does not invent missing details. Refresh the document after correcting the record. If only one cited page is wrong, edit that citation's options.
Should I manually edit a Zotero bibliography in Word?
First identify whether the issue belongs to metadata, a particular citation or the style. Refreshing can overwrite manual edits to the generated bibliography. Keep live fields in the working version and do not unlink them merely to repair a small issue.
Where do I enter the page for a particular quotation in Zotero?
Add the locator, such as a quotation's page, in that citation's options in Word. An article record's pages field describes the whole publication's page range. Do not change that range for each quotation. Use a locator appropriate to the source and style.
Must I use Unlink Citations before submitting my thesis?
Do not treat unlinking as a mandatory final step. It removes further automatic updating in that copy. If plain text is required, preserve a separate version with live fields before unlinking citations in a final copy. Follow the agreed file delivery requirements.
What should I check when Zotero fails in only one Word document?
Save a copy and test a new blank document. If citation insertion works there, use the official document troubleshooting instructions and record the error and software versions. Make changes individually on a copy. Do not post a confidential thesis or participant data on a public forum.
Need help organising your sources and document?
Send me the document, requirements and an example of the problematic reference. Say whether Zotero fields are active or the bibliography is plain text. Relevant help includes Reference list and citation corrections for your thesis, Literature search and selection for your thesis or Bachelor’s and master’s thesis formatting. I can distinguish missing source details, style issues and document layout. For an initial self-check, use the bibliography and citation error guide.
